The primary purpose of this role is to provide high level administrative support to the Project Director includes managing and coordinating administrative processes and liaising with internal and external stakeholders on behalf of the Project Director.
The Executive Assistant is required to perform the following tasks:
  • Coordinate and maintain the diary of the Project Director, including managing competing priorities, arranging meeting schedules, travel arrangements and monitoring email and telephone calls.
  • Provide high level clerical and administrative support to the Project Director, through the preparation of correspondence including meeting minutes and memoranda, maintenance of documents and files, and undertaking other routine duties as directed.
  • Organise meetings, including arranging venues, catering, sending invitations, and preparation of agendas and meeting documentation.
  • Manage the workflow correspondence tracking system to ensure timely responses to internal and external correspondence by registering incoming correspondence, coordinating the allocation and distribution of correspondence to the relevant business areas and through the monitoring of all follow up actions.
  • Provide human resources or financial support when required through the reconciliation of accounts and personnel timesheets, procurement of goods and services, administration of budgets and monitoring of expenses.
  • Provide a high standard of customer service in the delivery of duties.
Skills and Experience Required
  • Demonstrated experience in providing clerical and administrative services to senior executives
  • Excellent oral and written communication skills and interpersonal skills
  • Demonstrated capacity to exercise a high level of discretion, confidentiality and political sensitivity in liaising with internal and external stakeholders
  • Well-developed computer skills in Microsoft Word, Excel and PowerPoint and other supporting systems for procurement and record management
  • Excellent organisation and time management skills with a demonstrated ability to manage work priorities and meet strict deadlines
  • Demonstrated problem solving, research and analytical skills and capacity to present information in a logical and coherent manner
  • Capacity to undertake procurement and financial support activities including ordering goods and services, payment of invoices and administration of budgets
