An Executive Assistant is required on an initial 3-month contract to support an Assistant Secretary of a government agency. As the EA you will have previous experience providing executive administrative level support as well as strong office and time management skills. Baseline security clearance is required in this role.
The Role:
Provide administrative support to Executive and Branch:
  • Diary and email management for Executive, scheduling appointments, planning and collating meeting paperwork
  • Travel arrangements for Branch Exec through Dept. travel provider
  • Manage office systems and records, including Parliamentary and Ministerial correspondence and briefings
  • Prepare correspondence, minutes and other written materials for Branch Executive
Project and Program Support:
  • Assist with the preparation of reports on relevant program activities and/or projects
  • Co-ordinate the allocation and submission of briefs
  • Action and reconcile payments, invoices,  expenditure with appropriate delegation
  • Assist with implementing programs administered by the agency
  • Assist in project management and coordination activities including research and reporting.
Stakeholder Management:
  • Engage and negotiate with stakeholders on complex issues to achieve business outcomes
  • Maintain relationships and negotiate with customers in more complex matters, resolve escalated customer issues and refer these to appropriate service channels when necessary
The Successful candidate will have:
  • Experience in providing executive level administrative support including diary management, travel and financial processing and research and report preparation
  • Demonstrated strong office and time management skills with the proven ability to organise priorities to meet deadlines in a fast-paced and diverse environment.
  • Highly proficient in the use of MS Office programs, records management systems and financial management programs/processes.
  • Highly skilled in written and verbal communication with a range of stakeholders; including Senior Executive and external authorities and organisations.
  • A sound knowledge of Government policy including workplace diversity and an understanding of indigenous and cross-cultural issues.
