The Senior Program Coordinator is responsible for performing a range of project management tasks to assist the Program Manager in the achievement of the efficient and effective co-ordination and management of projects.  The Senior Program Coordinator is responsible for program administration, coordinating meetings, tracking progress, documentation and reporting and would be working closely with the Program Manager.
 
KEY ACCOUNTABILITIES
 
  • Preparing project plans and maintaining the program schedule; this will include tasks such as integrating and updating requirements and tracking delivery dates, lags and barriers and ensuring those responsible are updated.
  •  Providing coordination and support in the establishment of governance and collaboration structures and developing and maintaining effective operational and administrative processes. This includes supporting the Network with practical logistical tasks such as scheduling, organising meetings and other high level administrative requirements.
  •  Preparing risks and issues logs for the program, negotiating with stakeholders to ensure mitigation strategies are documented, logs are updated and all risks and issues are addressed.
  •  Ensuring all project documentation is completed, current and well maintained. This includes developing meeting papers, reports, records of meetings (minutes), actions, logs, registers etc. 
  • Developing and maintaining effective communication networks and working relationships both internally and externally to facilitate the smooth exchange of information between stakeholder groups.
  •  Preparing high level briefs, program status reports, correspondence and presentations as required.
  •  Providing assistance with financial data entry and monitoring of program budgets. 
  • Engage with end users to understand their requirements and the business needs to ensure that the solution meets these requirements; develop and implement appropriate user support and training; and coordinate user acceptance testing.
 
QUALIFICATIONS AND EXPERIENCE
 
  1. Demonstrated extensive experience in providing senior project co-ordination and support and the effective delivery of outcomes and outputs within a complex health, education, social services and/or IT environment.
  2. Demonstrated initiative and ability to work independently for successful outcomes using contemporary project management processes and an understanding of project methods and tools.
  3. Extensive experience in establishing and maintaining positive relationships with a broad range of internal and external stakeholders including consumer groups, government and non-government organisations and  research organisations, across a broad spectrum, from frontline staff to senior executive level. 
  4. Demonstrated experience in the following applications: MS Word, Excel, Power-point, MS Project.  
  5. Extensive skills and experience in scheduling meetings, creating and maintaining project schedules and risk and issues registers, identifying potential or actual project issues and seeking their resolution through the appropriate channels.
  6. Demonstrated ability to work in and coordinate multidisciplinary teams to deliver high quality customer focused outcomes.
  7. Superior written and oral communications skills, including experience in the preparation of meeting agendas, documentation of meeting action items and the development of reports and presentations.
